Manage and Delete Your Data
pipeMOTION™ gives you full control over the data in your account, including the information from any Google or Microsoft email accounts you connect. This article explains what data we hold, how to review and manage it, how to disconnect an email account, and how to delete your data or your entire account.

What data pipeMOTION holds
Your profile — your name, contact details, company, and the preferences you set up during onboarding.
Your contacts — the client and contact records you create or that are organized from your connected email accounts.
Connected email account data — when you connect a Gmail or Microsoft account, pipeMOTION reads your messages to surface conversations that need a reply, organize your correspondence, and draft follow-ups for you to review. We process this content to provide those features. We never use it to train AI models, never sell it, and never use it for advertising.
Your tasks, notes, and emails — the follow-ups, tasks, and notes created in the app.
Account and billing records — records related to your subscription and credit usage.
Review your data
You can review most of your data directly in the app at any time:
Profile information — go to Profile → Personal Information.
Connected email accounts — go to Settings → Email Accounts.
Your contacts — open All Clients or Manage Contacts to see every contact in your account.
Auto-send settings — go to Settings → Auto-Send Preferences.
Automation settings — go to Settings → Billing → Automations & Credits.
Request a copy of your data
To request a copy of your data, email support@pipemotion.com and we will provide it within 7 days.
Disconnect an email account
Disconnecting a Gmail or Microsoft account stops pipeMOTION from accessing that mailbox and removes the data derived from it.
Go to Settings → Email Accounts.
Find the account you want to remove.
Click on the delete icon next to that account.
When you disconnect an account:
pipeMOTION immediately stops reading or sending mail from that account.
The stored access credentials (OAuth tokens) for that account are deleted.
The data derived from that mailbox is deleted from your account.
You can also remove pipeMOTION's access directly through your email provider. For Google, visit myaccount.google.com/permissions and remove pipeMOTION; for Microsoft, open your Microsoft account settings and go to Privacy → Apps and services that can access your data (for a Microsoft 365 work or school account, use myapps.microsoft.com). Removing access immediately prevents pipeMOTION from accessing any new data from that account. Stored data associated with the disconnected account is deleted or anonymized in accordance with our data-retention and deletion procedures. Residual backup copies are removed within 30 days.
Delete specific contacts
Open the contact by clicking on the "View Details" button from All Clients or Manage Contacts.
Open the options menu (three dots) and select Delete.
Confirm the deletion.
Deleting a contact removes its profile, communication history, notes, and active tasks from your account. This action cannot be undone. If you're not ready to delete a contact permanently, you can disable them instead, which pauses all automated activity while keeping their record.
Delete your account
Deleting your account permanently removes your data from pipeMOTION.
Go to Settings → Data & Account Controls.
Select Delete Account.
Type DELETE to confirm, then select Delete Account.
When you delete your account: all connected email accounts are disconnected and their stored credentials are deleted; your profile, contacts, tasks, notes, and the data derived from your connected mailboxes are deleted; and this action is permanent and cannot be undone.
Data we may retain after deletion
After you delete your account, we may retain a limited set of billing and transaction records for up to 7 years where we are required to keep them to support regulatory obligations (for example, under RECO, BCFSA, or FINTRAC). These records do not include the content of your connected mailboxes, which is deleted as described above.
How pipeMOTION protects your connected email data
We never sell your data.
We never use it for advertising.
We never use it to train AI models — this applies to all connected Google and Microsoft account data.
pipeMOTION's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
